How to use this calculator
Start by choosing a mode. Use point to point for a fixed route like an airport transfer, where you price a base fare plus a per-mile rate over the trip distance. Use hourly for weddings, events, and as-directed work, where the client controls the clock and you bill by the hour.
Set your base fare first. This is the fixed amount you charge before distance or time, and it should cover dispatching the job and getting a ready vehicle to the pickup. On point-to-point trips, add your per-mile rate and the trip distance so mileage is layered on top of the base.
For hourly bookings, enter your hourly rate, your minimum hours, and the hours the client actually booked. The calculator bills the greater of the two, so a booking below your minimum still charges the minimum. Minimums keep short jobs worth taking a vehicle and driver off the board for.
Add your gratuity percentage last. It is applied to the subtotal to show the all-in figure a client would pay, which is useful when the gratuity is passed to the driver. Set it to zero if you handle tips separately.
Every field is editable, so treat the prefilled values as a starting point and replace them with the numbers that fit your market, your vehicles, and your costs. When the total looks right, use it as the basis for a written quote and add any local taxes or fees your area requires.
